Primary Responsibilities:

Creating policies, procedures, and standards and ensure they are being followed in all offices.

Managing the process of creation and tracking all ingoing and outgoing legal files in support of client needs through use of IRM (records management) software.

Working to create process and procedures to move towards a reduced paper operation/environment.

Managing and continual updating of the records retention policy.

Gathering, sorting and preparing legal documents for filing, creating computerized indexes of pleadings and discovery documents, and closing case files for offsite storage.

Investigate and resolve user complaints as well as facilitate solutions.

Accomplishing organizational goals by accepting ownership for accomplishing new and different requests; explore opportunities to add value to job accomplishments.

Providing excellent customer service to all levels within a client environment.

Coaching and developing records staff.

Handling day to day operations of budget management, employee and training development.

Involvement in local ARMA chapter to stay up to date on current trends in the RIM field.

Primary Requirements:

Bachelor’s Degree preferred

2+ years’ experience in a supervisory/manger position at a law firm or legal service provider

Experience with Records Management software (IRM, LegalKEY, FileSurf)

Previous experience with software conversions a plus

Experience with managing electronic records

Excellent customer service skills

Ability to work in a fast paced and changing environment

Ability to Travel to regional offices

Strong attention to detail

Ability to analyze and offer solutions.

Involvement in ARMA is preferred

Job Duties:  Under general direction, provides analysis to state and local government agencies concerning electronically generated public records for management and appraisal, using specialized software tools. Conducts technological needs assessments and advises agencies on resolution, appraisal, scheduling and management of electronically generated public records. Serves on technology committees, attends legislative committee hearings, and tracks legislation concerning public records issues. Examines records retention schedules and contributes system descriptions that provide technical and contextual information, and consults with agencies to ensure systems are managed in compliance with records management laws. Promotes statewide use of information resource management and electronic records guidelines, policies, and technology standards by creating instructional materials and providing training. Assists multi-agency advisory groups by researching issues, developing draft guidelines and standards documents, and compiling  meeting minutes.
